A ready-to-post image for WhatsApp, Instagram, or anywhere else — built from this item's own photo, name, and price, in your storefront's own colors.

This item doesn't have a photo yet — add one from the Inventory page for a more eye-catching share card.

Logo & banner maker

Uses your own theme colors and fonts automatically — nothing here can clash with the rest of your storefront.

Bulk import inventory

Nothing is added to your inventory until you review the list below and tap Import — take a moment to check it over first.

Buy Mall ad placement

Your ad rotates in a shared slot on the Mall page — every shopper browsing sees it, not just people who already know about you.

Expiring soon

Items with an expiry date set on the item, within the next 7 days (or already past).

Compare branches

Owner/Supervisor only. Net sales per location for the selected period, with the change vs. the same-length period right before it.

Register

Sales queue locally first — this screen works with no connection.

Kitchen

Live order tickets — updates the moment a sale completes at any register.

Website

Activity from your public storefront at your site.

Showing every pending request across all days, soonest first — the day picker only applies to Confirmed/All.

Work Orders

A repair is rarely a single-visit sale — estimate it, get it approved, work on it, then charge once it's done.

New Work Order

Parts & Labor

Free-text lines — a part doesn't need to already be in your inventory catalog, and labor never is.

Ready for Pickup / Delivery

Accepted and prepared — waiting on the customer or driver to actually collect it.

Customers

Loyalty points earn automatically on sales attached to a customer — configure the rate in Settings.

Inventory

Receiving deliveries: tap Receive on a purchase order and enter what actually arrived. Once confirmed, it can't be changed.

Stock never blocks a sale — it flags for review instead. Stocking a location is optional per item — check only the locations that actually carry it.

Moving your whole menu over?

Import items in bulk instead of typing each one — from a spreadsheet, an export from another POS system, or (coming soon) a photo of your menu.

If set, shoppers see a "View" button that opens this link instead of adding the item to their cart — good for a digital product, course, app, or anything you sell outside 868POS. Leave blank for a normal item.

Item image preview

Photo is optional — auto-cropped to a square thumbnail for the Register grid.

Adjust stock at a location

Sets (not adds) the stock count for one item at one location. Leaving a location unchecked above just means this item isn't sold/tracked there at all.

Report damaged stock

Promotions

Automatic multi-buy deals for a single item — e.g. "Buy 2, Get 1 Free" or "3 for $10". Applies automatically at the Register once enough of that item is in the ticket.

Suppliers

Save each supplier once, then pick them when you create a purchase order.

Purchase orders

Create an order, then mark it received once the stock actually arrives — receiving is what updates stock counts and item cost, not creating the order.

Expenses

Log the cost of running the business — supplies, delivery fees, repairs — so "Est. profit" above is an actual net figure.

Employees

Only Owner or Supervisor can add staff. Sensitive actions require the supervisor PIN.

Clock in / out

Pick "Other" for staff who don't use the register at all — janitor, kitchen staff, delivery driver, loader, dishwasher, etc. Just type what they do in the job title box below. They're still tracked on the roster and can still be clocked in/out (by an Owner/Supervisor, on their behalf), just without their own POS login.

Give the temporary password to the employee directly — have them change it after first sign-in.

The Quick PIN is a separate, optional shortcut — it's what lets this person be handed a shared register during their shift without a full sign-out/sign-in. It's not their real password. They can also set or change their own PIN anytime from their own Settings once signed in.

Time log

Visible to Owner and Supervisor only. Hours × hourly wage gives an estimated labor cost — set a wage per employee above to see it.

Payroll

Owner/Supervisor only. Runs off clocked hours × each employee's hourly wage above — pick a pay period to see who's owed what, then run it to lock the numbers in and print payslips. Only clocked-out hours that haven't already been paid are included.

Uses the official NIBTT 16-class contribution table (effective 5 Jan 2026) and BIR's published PAYE/Health Surcharge rules. This is a strong estimate built into your POS, not a certified tax filing product — it doesn't handle TD1 elections, extra approved deductions, or the under-16/60+/pension-only NIS exemptions (mark an individual employee "Exempt" in the table above for those cases instead). NIS is legislated to rise again in January 2027 — this'll need an update then. For the most accurate NIS/Health Surcharge figures, run payroll on a weekly or biweekly cadence aligned to calendar weeks. Always verify against NIBTT/BIR before remitting.

Registered devices

Visible to Owner and Supervisor only. Every register needs its own serial key — this is every key activated on this business and which system it's tied to. Use "Release" only when retiring or replacing a device; the key can then be re-entered on its replacement via "Add this device" on the activation screen.

Buy more device keys

Every register needs its own key. Buy one here, then on the new device go to the activation screen, tap "Add this device", and enter the key.

Business phone number

Required for every business. Only ever visible to you and 868POS support — never shown to customers.

Receipt logo

Printed at the top of every receipt in place of the plain "868POS" text. Keep it simple — receipts print narrow (58–80mm thermal paper), so a wide or busy logo will shrink down a lot. A PNG with a transparent background works best.

Inventory translations

Item names, categories, and descriptions are automatically translated into every supported language whenever an item is added or edited, so staff and customers each see them in their own language. Items that existed before this feature won't have translations yet — run this once to backfill them all now.

Loyalty program

Receipt paper width

Matches whatever thermal receipt printer you're using — check the paper roll or printer spec if unsure. Works with any brand; this just tells the browser how wide to print.

Receipt language

Keeps printed and emailed receipts in a fixed language no matter what language the app itself is switched to — handy when staff work in one language on screen but customers expect another on paper.

Second language

Works for USB-connected printers only. A browser can't install drivers for you (no website can, for security reasons) — this identifies the brand and links you straight to their official driver page instead of guessing.

Cash drawer (Bluetooth)

For a cash drawer that connects to a Bluetooth receipt printer. This connects directly to that printer to trigger the drawer — separate from normal receipt printing, which is unaffected either way. Only works in Chrome or Edge on Android, Windows, macOS, or Linux — not available on iPhone or iPad in any browser, since Safari doesn't support this.

Cashier permissions

Off by default — any staff member can currently start/end shifts and record cash in/out. Turn this on to require an Owner or Supervisor PIN before a cashier can do any of those.

Purchase orders

Kitchen display / tickets

Send completed orders to a kitchen or dispensary — as a live screen, an auto-printed ticket, or both. Each device that should act as a kitchen station just needs the app open on this business's Kitchen tab (and its own printer set as the OS default, if using auto-print there).

Stations (optional)

Leave empty for one single kitchen/dispensary ticket. Add stations to split orders by item category — e.g. food to a Kitchen screen, drinks to a Bar screen. Anything in a category not assigned to a station lands on a "General" ticket automatically.

Local network direct connection (experimental)

Normally, if the internet drops, this device keeps working on its own but can't hand a new order to a different device (like the Kitchen screen) until the internet is back — everything syncs through the cloud. Turning this on has devices on the same WiFi quietly open a direct connection to each other while online, so if the internet then drops, kitchen tickets can still reach an already-connected screen straight over the local network. It only covers devices already connected when the outage starts — one that was off or just opened can't make a first connection without the internet. Off by default; safe to leave off if you'd rather just wait for orders to sync normally.

Dine-in tables

Set up a fixed table list per location — the Register's Dine-in mode shows these as a tappable grid. A table's tab stays open (orders, tips, and a running total) until it's charged out at the end, and survives a page reload just like a held order does.

Register lock & screensaver

An idle screensaver is cosmetic only — it dismisses on any tap. The register lock is a real security gate: once locked, only the employee who locked it, or an Owner/Supervisor, can unlock it. Anyone else trying is recorded in the Audit Log below.

Draw the unlock pattern (Owner/Supervisor only):

Discount & override PIN

There's no separate PIN to set — a cashier applying a discount, or an Owner/Supervisor voiding a sale, refunding, or removing an employee, is asked for any Owner or Supervisor's own quick PIN (set below). That's what actually verifies who approved it in the Audit Log, instead of one shared code anyone could use.

My quick PIN

A 4-digit PIN so you can be tagged as the operator on a shared register without a full sign-out/sign-in. This only changes who sales are attributed to — it never changes what you're allowed to do.

Clock-In Kiosk

Turn THIS device into a dedicated wall-mounted clock-in station — good for larger teams. Once enabled, this device never signs in as anyone: any employee just enters their Employee ID and PIN (or scans their printed QR code) to clock in or out. This is permanent for this device until an Owner/Supervisor turns it off from right here on the Kiosk screen.

Kiosk Devices

Every device currently set up as a Clock-In Kiosk. Deactivate one remotely from here — for example if it's lost, stolen, or you just can't get to it in person — and it will turn itself back into a normal sign-in screen the next time it's online, usually within a couple of minutes.

Customer WiFi QR Code

Print this and put it on a table or counter — customers scan it with their phone camera and connect automatically, no typing a password. Saved here so you can view or reprint it anytime without re-entering your WiFi details.

A message across the top of your own storefront — sales, new items, anything. Always free, only shown on your own site.

Want to be seen on the Mall page too?

A paid, rotating ad slot on the Mall page itself — seen by every shopper browsing, not just people who already know your storefront link.

Only the ones you fill in show up as icons in your storefront's footer — leave the rest blank.

Used for delivery distance and, soon, showing shoppers how far you are.

No pickup or delivery — checkout won't ask for an address, and orders show up marked as digital deliveries instead.

💲
Delivery fee (set platform-wide, charged to the customer)

$0.00

You still assign your own staff to deliver an order the same way as before, from the Website page — the delivery fee above is what an independent driver earns instead, for orders you leave unassigned. Whichever you choose is per order: assign staff before marking it ready to deliver it yourselves, or leave it unassigned to let an independent driver claim it.

Uses the same WiPay / PayPal credentials configured under "Payment providers" below — set at least one of those up first. Requires Online Ordering to be active.

Shown to customers at checkout. Say when you give refunds or exchanges and how to ask for one. Leave blank to show nothing.

Needs a Resend API key set up under Locations & Payments > "Digital receipts" — sent only when the customer left an email address.

An IANA time zone name for this location (e.g. America/Port_of_Spain, America/New_York). Without this, "today" and open days on your site are computed from each shopper's own device clock, which can be a day off from yours around midnight.

Digital receipts

Email a receipt instead of (or as well as) printing one — sidesteps printer/driver issues entirely. Uses Resend — free to start, one API key.
